Use one weekly fact sheet for the special: name, ingredients, price, availability, serving time, and one customer question. Turn it into a menu-board update, a poster, and a 15-second clip direction. The fact sheet keeps every channel aligned when the special changes.

AI Menu Board Content Calendar for Cafe Weekly Specials

Short answer

Use one weekly fact sheet for the special: name, ingredients, price, availability, serving time, and one customer question. Turn it into a menu-board update, a poster, and a 15-second clip direction. The fact sheet keeps every channel aligned when the special changes.

Five steps

  1. Record the confirmed special and its availability window.
  2. Add one proof detail, such as the preparation step or real product photo.
  3. Write the direct customer answer above the promotion.
  4. Reuse the same facts for a poster and a short vertical video direction.
  5. Archive the week’s fact sheet and replace only changed fields next week.

Example

Question: “Is the iced drink dairy-free?” The menu board gives the answer, the poster shows the ingredients, and the 15-second direction shows the pour. Staff verify the ingredient statement before publishing.

What the weekly fact sheet looks like

Keep it to one page. Fill it on Sunday night or Monday morning, before the week starts.

FieldExample
Special name (as staff say it)Iced Gula Melaka Latte
What is in itDouble shot, fresh milk, gula melaka syrup, ice
PriceRM13.90 (same as the till)
AvailableMon–Fri, 8 am to 4 pm, until 30 October
Proof detailThe syrup is cooked in-house every morning
One customer question"Can I get it with oat milk?" — Yes, +RM2
PhotoReal cup, shot on the counter this morning

Every channel reads from this sheet. If the price changes on Wednesday, you change it here first, then on the board, then on the next post.

One special, one week: a simple calendar

  • **Monday:** update the menu board and put the new poster at the counter.
  • **Tuesday:** post the 15-second clip (the pour, then the finished cup) on Instagram, TikTok and WhatsApp status.
  • **Wednesday:** post the answer to the one customer question as a short clip or a story.
  • **Friday:** repost the clip with "until Sunday" or "last week" if that is true.
  • **Sunday:** archive the sheet. Note which question came up most, and start next week's sheet from it.

That is four posts from one sheet, and none of them contradicts the board.

Mistakes that cost cafés the most

  • **The board and the post disagree.** The post says RM12.90, the board says RM13.90. The customer trusts neither.
  • **No end date.** "Limited time" with no date makes people wait. A real date gives them a reason to come this week.
  • **The photo is from last month's special.** People order what they see. Shoot this week's cup.
  • **Every language is a separate guess.** Translate the confirmed sheet, not the Instagram caption, so the ingredients and prices stay the same in English, Chinese and Malay.

FAQ

Should every special get a new design?

Keep the structure consistent and change the confirmed details, photo, and opening question.

Can one calendar cover multiple languages?

Yes. Keep ingredients, units, dates, and prices fixed while reviewing natural wording for each language.
