Product Images You Send on WhatsApp: Make One That Needs No Follow-Up
Short answer
One image needs four things: what it is, what it costs, whether it is available, and how to get it. Leave one out and the customer has to ask — and every extra message is another chance to change their mind.
Who this is for
In Singapore and Malaysia, much of the business happens inside WhatsApp. Useful for any shop where customers ask "how much is this one".
Steps
- One item per image. Put five on one and they will ask about the third.
- Write the full name, not "signature item" — they are going to forward this to someone else.
- State whether the price includes tax and delivery. In Singapore and Malaysia this is the most common argument.
- Add a stock line: in stock, a few days' wait, or made to order. This one saves the most back-and-forth.
- End with how to get it: collect, pick up, or delivered. "DM for details" wastes the whole image.
Example
Picture the same item sent two ways. As a bare photo, the customer has to ask three things in a row: how much, is it in stock, can you deliver. With the four lines on the image, all three are already answered, so the first reply can go straight to "put one aside for me". The product is the same; the back-and-forth is what changes.
A four-line template you can copy
- Line 1: the full name, plus one detail you can see (size, flavour, colour).
- Line 2: the price, and whether it includes delivery or tax.
- Line 3: in stock, ready in a few days, or made to order.
- Line 4: how to get it: collect at the shop, pick up somewhere, or delivered to which area.
Examples by shop type
These are made-up examples to show the layout. Use your own names and prices.
- Bakery: "Pandan chiffon cake, 20 cm / S$28, collect only / Order by 6pm, ready next day / Collect at the shop, 10am–8pm."
- Florist: "Hand-tied bouquet, 12 red roses / RM120 incl. delivery in KL / Made to order, 2 hours / Delivered or collect at the shop."
- Phone repair: "iPhone 13 screen replacement / S$129 incl. labour / Same day if dropped off before 2pm / Walk in, no booking needed."
- Clothing: "Linen shirt, white, sizes S–XL / RM89, postage RM8 / In stock / Postage or collect at the shop."
Common mistakes
- Price in the caption, not on the image. Captions get cut off when people forward the image; the image travels whole.
- Text too small. Customers read it on a phone, often without opening it full screen.
- A photo that hides the product. A busy background makes people ask what exactly they are getting.
- Old stock lines. "In stock" on an image from last month starts an argument.
Before you send: a ten-second check
Look at the image once as the customer would: can you tell what it is, what it costs, whether you can get it now, and how? If any answer is missing, fix the image before you send it, not in the next message.

FAQ
Prices change — do I remake the image daily?
For volatile items write "today's price, confirmed in store"; for fixed ones state the number. Do not dodge both.
What if I need to send several items?
One per image, sent in sequence. Easier to read, and easier for them to forward just one.
Should I include the shop name and phone?
Name yes; phone depends. They are already chatting with you — the space is better spent on how to collect.
Do I need both languages?
Depends on your customers. If both are common, make two versions — do not crowd one image with two languages.
Should I send a video instead of an image?
Send the image first; it answers the four questions at a glance. A short video works well as a second message when the customer wants to see the item move or the work being done.
Can I reuse the same image on Instagram or Facebook?
Yes, if the details are still true. Check the price and stock line first, because people on social media see it days later.
